I. Departmental Support from Spanish and Portuguese
The first place to look for funds is within the department. As many of you know, the dept. has a certain amount of funds to support graduate student participation in professionalization activities. Below you will find an outline of the procedures for applying for departmental travel funds to attend conferences. Support is also available for research projects from the Karpus Fund (restricted to travel undertaken in connection with a research project relating to Peninsular Studies) and the LoAnne Crane Award. I will send out more information on these latter funds later in the year.

How to apply?
In order to apply for these funds, you must turn in an Application for Departmental Travel Funds –including the form itself (with a note of support from your advisor) and a copy of the formal invitation to present at the conference—to me as Director of Graduate Studies. You can attain a hard copy of that form from Judy Manley; I am attaching an electronic copy of the form in this e-mail (we are also working on getting these forms up on-line). I encourage you to use the electronic copy whenever possible in order to present your application in the clearest and cleanest form possible. During the academic year, such applications are always reviewed by the Graduate Studies Committee. In our evaluation, we base our decision on the following: a) relevance of the paper to the student’s main field of concentration; b) prestige of the conference for which the funds are requested; c) applicant’s stage of advancement within the graduate program. The maximum amount of travel support is $300.00. If the GSC approves the application, then I sign the document and forward the materials to Tammy Jones. At that point, you will also need to need to fill out and turn in a Request for a T number form directly to Tammy Jones.

When to apply?
You should begin the application process AS SOON AS you receive official notification that you have been accepted for a conference; moreover, you must complete the application process (including applying for a T number) BEFORE you go to the conference. This is very important for a number of reasons. First, while the Dept. has every interest in monetarily supporting graduate student professionalization activities, our funds are limited. Second, the GSC does not meet every week and your application might not be reviewed right away. Finally, if your application is approved, you must fill out and turn in a Request for a T number (to Tammy Jones) approximately 2-3 weeks before your departure in order to allow for the necessary processing time at the departmental and university levels. Our staff will do everything they can to help you process these forms; however, they need sufficient time to comply with the university’s bureaucratic procedures. Please remember that according to university policy, without an assigned T form, you cannot be able to be reimbursed.

The College of Humanities administers several travel and research grants, including a Small Grants fund, the Michael J. Riley Fund, and the Gordon P.K. Chu Fund. Please note that these grants are competitive and that the College (like our department) has a limited amount of funds. I strongly encourage you to apply for these as soon as possible, as funding may run out.
